Leadership Role Descriptions

The PTA is lead by volunteers. Here is a list of the positions and an idea of the responsibilities of each position. Each position is open every year but can be held for a maximum of 2 years. Elections are held at the April PTA meeting.

 

President - The President oversees & coordinates the work of the executive board, presides at PTA board meetings, and serves as the official contact, communicator, and representative of the PTA

 

Recording Secretary - Takes minutes at the exec board meetings and association meetings, co-signs formal papers with the president. Handles and preserves PTA records and important documents to pass on at the end of term. 

 

Treasurer - The Treasurer maintains permanent records to track unit funds and financial transactions, chairs the budget committee and prepares annual budget for adoption by the association, and pays all PTA bills as authorized by the board or association.  This role also ensures taxes and reports required by PTA Bylaws, insurance, or federal and state governments are completed and submitted by the due dates.  

 

VP of Ways and Means - The VP of Ways and Means manages all fundraising at Buena Vista.  They focus on raising the amount of funds needed to meet the unit's budget and present reports on proposed fundraising activities at board and association meetings for approval. 

  • This is primarily managing fundraising events such as the Fun Run(Fall), Give Day (Spring) and raising funds for our Bulldog (Annual) Fund. 

VP of Communications - The VP of Communications role supports the PTA's website, social media accounts and eNews. This role helps establish the PTA's communication objectives and identify a communications plan.   

 

VP of Outreach - The VP of Outreach supports building community at Buena Vista, ensuring an all-inclusive campus, and attracting new families to the PTA. This person helps to identify and break down barriers that impede children from learning or families from their full involvement with their children's education.  

 

VP of Programs - The VP of Programs works with the committee and other chairmen to plan and organize programs for the school year.  This role collaborates with principal, PTA president, other chairmen and campus student groups to coordinate, plan, and implement programs.  

 

Historian - The Historian captures, assembles and preserves records of activities and achievements of the PTA.  They collect volunteer hours for PTA meetings and events and complete/ submit the PTA Unit-Annual Historian Report to council/district PTA.  

 

Parliamentarian - The Parliamentarian assists the president to manage meetings and advises on parliamentary procedure.  This role is also responsible for chairing the bylaws committee to review unit bylaws each year and revise bylaws every three years.  The parliamentarian also arranges the nominating committee's first meeting, providing information on the nomination and election process.   

  • This is a 1 year position appointed annually by the President and is not an elected position.
